Step by step: How visa approval works at the embassy

Unlike the UK ETA, which is fully online, some visa types require a more formal application through an embassy or visa application centre. This process involves several steps, from preparing your documents to attending an interview. Here’s how visa approval at the embassy typically works.

Step 1: Preparing your documents

Before you visit the embassy or visa centre, you’ll need to gather the required documents.

These usually include:

  • A valid passport with sufficient validity
  • A completed visa application form
  • Recent passport-style photos
  • Proof of travel plans (such as flight and accommodation bookings)
  • Financial evidence showing you can support yourself
  • Additional documents depending on the visa type (such as a work contract, university admission letter, or family relationship proof)

Step 2: Submitting your application

Applicants usually submit their paperwork either online before the appointment or directly at the embassy or visa application centre. At this stage, you’ll also pay the visa fee.

Step 3: Providing biometrics

Most applicants will need to give biometric data (fingerprints and a photograph) during their visit. This information is used for identity verification and security checks.

Step 4: Attending the interview (if required)

Some visa categories require an in-person interview with a consular officer.

You may be asked about:

  • The purpose of your trip
  • Your travel history
  • Your financial situation
  • Your ties to your home country

The goal is to confirm that your intentions match the visa you are applying for.

Step 5: Application processing

Once your application is submitted, embassy staff and UK authorities will review your documents, check your background, and verify your eligibility. This process can take anywhere from a few days to several weeks, depending on the visa type.

Step 6: Decision and passport return

When a decision has been made, the embassy will either:

  • Approve your visa – your passport is returned with a visa vignette or entry clearance sticker.
  • Refuse your visa – you’ll receive a written explanation outlining the reasons for refusal.
